Help & FAQ
Step-by-step guides for owners, office staff and crews. Can't find it? Email [email protected].
Getting started (owners)
- Create your company account at lawnclock.com/app and pick your type of business from the list. It sets the services you choose from and the starter price list. You get a free trial. No card needed. You can change it any time from the Your trade list at the top of Get set up on Home, or in Settings → Company.
- Settings → Company: check your time zone. Every time and date in LawnClock uses it.
- Settings → Invoices & quotes: add your billing email, phone and address. They go on invoices, and customers' replies come to that email.
- Settings → How customers pay you: connect Stripe for card and bank payments, or paste your own payment link (PayPal, Square, Venmo…) so invoices get a Pay now button, fill in Remit checks to (who checks are made out to, and where to mail them: blank uses your company address), and add other payment instructions (Zelle, Venmo). The remit-to prints as its own lines on every unpaid invoice. Put
{amount}in the link to fill in the total automatically. - Add-ons in the menu (owner): Your add-ons (the ones you have), Available to add (extras such as the Equipment Service Log, Property Measure and card & bank payments, with their prices) and Coming soon (add-ons we're thinking of building: click I'd use this on the ones you want). New add-ons show up there on their own as soon as they're ready.
- Settings → Route start point: type your shop or yard address and click Find. Routes start from there.
- Customers → + Add customer for each person or business you bill. Coming from Jobber, another program or a spreadsheet? Use Customers → Import customers instead and skip the typing (and most of the next step): how it works.
- Job sites → + New job site: type the address and press Tab. The pin and map fill in by themselves. Drag the pin onto the property if it's slightly off. The green circle is the boundary: crossing it logs an arrival or departure. 150–200 m suits most homes.
In the Billing card, pick the customer, the service from the list (or "Other" to type your own) with an optional description like "front & back, bag clippings", and how you charge: per visit, per crew hour or per month, and the price. Without a customer and price, visits can't be invoiced. - Team → + Add person: enter their name, email and cell number. Leave Sign in with their cell number and a PIN and Email them the PIN ticked and LawnClock emails them a temporary PIN: they sign in with their cell number and that PIN, with no password to remember, and pick their own PIN in Settings. Untick Email them the PIN to have it shown to you instead. Without a cell number, LawnClock shows a temporary password instead; they choose their own the first time they sign in. Tick the job sites they work at.
- Team → Crews: group people into crews (e.g. "Truck 1"). Schedules, routes and crew emails work by crew.
- Schedule → + Schedule a visit: pick the property, how often (weekly, every 2 weeks, every 4 weeks, monthly or one time), the crew and the first date.
- Shifts (optional): plan who works which days and hours, then press Publish so the crew sees it. More below.
- Have each crew member install the phone app.
Bring in your customers from Jobber, other software or a spreadsheet
No need to type your customer list in again. Owners and admins can bring in customers, their properties, their regular service and price, and their upcoming visits in a few minutes, from Customers → Import customers. It works during the free trial too. Rather we did it? Email your file to [email protected] and we'll bring it in for you.
- Get your file. From Jobber: open Clients, pick All in the filter, then More Actions → Export Clients → CSV; Jobber emails it to you. From any other program (Yardbook, Service Autopilot, Housecall Pro, QuickBooks…): export or save your customer list as CSV or Excel (.xlsx). Starting from paper? Download our template on the import page and fill it in.
- Customers → Import customers: choose the file (several at once is fine) and click Next.
- Match the columns (not needed for Jobber's files, which are recognized on their own). Each of your columns is matched to ours by its name; pick or change any of them, or choose Don't bring in or Add to the customer's notes. Claude (Anthropic's AI) suggests matches for the ones that didn't match by name, marked Claude so you can check them; only the column names and the first 3 rows are sent for that.
- Check the files: you see how many customers, job sites, prices and visit plans will come in, and anything worth knowing (past visits, a missing date…). Nothing is saved yet.
- Find them on the map: each new job site is placed on the map from its address, about one a second, so keep the page open. Anything that isn't found is listed for you to add on Job sites.
- Import now. Then check a few pins on Job sites, and give your visit plans a crew on Schedule.
For crew members: the phone app
- Install LawnClock on your iPhone or Android phone. Your boss will tell you where to get it.
- Sign in: tap Cell number + PIN, then type your cell number and the PIN your boss gave you or emailed you. A PIN that came by email is temporary: once you're in, pick your own in Settings. (If you were given an email and a temporary password instead, sign in with those, then choose your own password.)
- Open the Tracking tab. Read the note about job-site tracking and tap I agree, then tap Start automatic logging. Nothing is logged until you agree.
- Allow notifications when asked. If two of your jobs are next to each other, the phone sounds an alarm asking which one you're on. Tap the job and it stops. Tap the next job when you move to it.
- When your phone asks about location, choose "Allow all the time" (Android) or "Always" (iPhone). "Only while using the app" isn't enough, because logging happens with the app closed.
- Android: go to Settings → Apps → LawnClock → Battery and choose Unrestricted. Samsung, Motorola and others otherwise pause the app to save battery, and arrivals get missed.
That's it. When you pull up to a job site the app logs your arrival, and when you leave it logs your departure, even in your pocket and with no signal. With no signal, it uploads later with the right times.
Tabs in the app
- Today: your crew's stops in order. Tap Navigate for turn-by-turn directions.
- Tracking: whether logging is on, and your recent arrivals and departures.
- Schedule: your next shift, and the shifts your boss has published for the next few weeks, with your time off (app version 1.3.6 or later). It still shows the last schedule it saw when you have no signal.
- My hours: your time on site for today, this week or this month.
- Purchases: log gas, oil, parts or materials, and snap the receipt. More below.
Text messages (optional): we can text you when there's an urgent job for you (like snow removal after a storm), and when your phone stops logging your time during work hours. To sign up, sign in on the website, open Settings → Text messages, type your cell number, tick the box and click Save. Reply STOP to stop. Your boss can't sign you up. More about the texts.
Español
- The website and the phone app can be in Spanish (the app from version 1.3; update it if it has no Español). On the sign-in page, tap Español at the bottom. Already signed in? Open Settings and choose Español under Language. Your choice is remembered, and the emails LawnClock sends you (your route, your schedule, answers about time off) come in Spanish too.
Your shifts and time off
- In the phone app, open the Schedule tab. Or sign in at lawnclock.com/app on your phone or a computer (same login as the app) and open My schedule. Both show the shifts your boss has published: the day, the hours, which crew you're on and how many stops it has.
- You get an email when your schedule is published or changed, with a link straight to it.
- Need a day off? Tap Ask for time off, pick the days and send it. The office gets an email, and you get one back with the answer. You can take a request back while it's waiting, or cancel approved time off before it starts (the office is told). Time off the office entered for you is theirs to change.
Schedule & routes
The schedule
- Switch between Week, Month and Year at the top right. The year view shows how many visits were done, missed and still to come each month. Click a month to open it.
- Visits turn Done by themselves when a crew phone logs an arrival. A visit in the past with no arrival shows Missed.
- Drag a visit to another day to move it (week and month views, on a computer). Or click it and use Move this visit…, which also lets you change the crew.
- Click a visit to Skip it: pick a reason (rain, customer request, customer away, holiday, equipment, crew unavailable…) and add details. The skip shows on the customer's next invoice as a $0 line with the reason, and under Reports → Skipped visits.
- Change service for this visit… sets a different service for one visit (e.g. Fall cleanup instead of Mow & trim). A repeating plan can have its own service too, like monthly fertilizing. The invoice line uses whichever applies.
- Also in the visit menu: Undo move and Edit the repeating plan.
- Crew did the job but the phone didn't log it? Click the missed visit, choose Mark as done…, and enter the arrive and leave times.
- Marked done on the wrong day? Drag it to the right day, or click it and choose Change day…. The times move with it. Undo done removes office-entered times. Visits logged by a phone can't be moved, because they're the real GPS record.
Routes
- Routes shows a crew's day on a map in driving order: timed visits first by time, then the rest fitted in where they add the fewest miles.
- Optimize order sorts purely by shortest distance. Use ▲ ▼ to reorder by hand.
- Open in Google Maps gives turn-by-turn directions for the whole route.
Emailing crews
- Routes → Email crew… sends a day's stops to everyone on the crews you pick, with an optional note ("Rain delay, start at 10").
- When you skip or move a visit in the next two weeks, LawnClock offers to email the crew with the change already written.
- Settings → Crew emails turns on an automatic evening email with tomorrow's route, and an optional Sunday "week ahead". Crews never see prices or customer names.
Snow removal & urgent jobs
Setting up for snow
- Settings → Type of business: pick Snow & ice removal and your Prices page starts with the usual snow services: plowing per push, snow blowing and shoveling per visit, salting per application, plow truck, loader and skid steer by the hour, hauling per load, and a seasonal contract. Doing lawns and snow? Keep your type and add your snow services on the Prices page.
- Each property's price: Per visit bills every push the phone logs there, Hourly bills the time on site, and Monthly suits a seasonal contract. Salting and other add-ons go on the property as extra charges.
- Settings → Company: doing lawns and snow? Tick We also do snow removal and pick when snow season starts (November 1, say). The season totals on Home and the Money page then follow whichever season it is. Snow only? Set Your season starts to when your winter starts.
Storm nights
- No schedule needed. When a crew member's phone arrives at a property, the visit is logged, even at 3 a.m. with no signal. Every visit at a property with a price shows under Invoices → Not invoiced yet, scheduled or not.
- Plowing a long route? Routes puts each crew's properties in driving order and gives them directions on their phone.
- Driveways right next to each other? Next-door driveways work the same as next-door lawns: see Two customers are next door to each other in the FAQ.
Urgent jobs
- Home → the red Urgent button. Pick the property, say what's needed, add a note and the price if you know it, and tick who gets the alert. Everyone with the LawnClock app (1.3.3 or later, alerts allowed) gets a loud alarm, and everyone gets an email.
- The first to tap Accept gets it. You're told right away, and everyone else is told it's taken. If they can't go after all, it goes back to everyone.
- Done, then billed. When it's done it waits under Ready to bill. Check the price, then it goes on the customer's next invoice, or make an invoice for it on the spot. It's billed instead of that property's regular visit price for the day.
Shifts & time off
Schedule is about customers: which property gets visited on which day. Shifts is about your people: who works which days and hours. You can use either one without the other.
Planning the week
- Open Shifts. Each person has a row and each day a column. Click + in a square to add a shift: start, end, an unpaid break, and a note for them ("Bring the trailer").
- Crew for the day: pick the crew they're riding with. Their stops for that day come from that crew's route, even if it isn't their usual crew.
- Covering another crew: once the shift is published, from the day before, that crew's job sites are put on their phone so arrivals are logged there. It's for that day only: it isn't shown as ticked on the Team or Job site pages, and it goes away by itself a few days later. To keep someone on a job site for good, tick it for them on the Team page as usual.
- Click a shift to change it. Drag a shift to another day or another person to move it (on a computer). Hold Ctrl while dragging to copy it instead.
- A shift can run past midnight (11:00 pm to 7:00 am for snow): set the end time earlier than the start and it counts as the next morning.
- Copy last week copies every shift from the week before onto the week you're looking at. Days where someone already has a shift, or has approved time off, are left alone.
- Under each name you see their hours for the week and, for the owner and admins who can see income, the labor cost at their pay rate. Anyone scheduled past your weekly limit is marked Over 40h. The owner can change the limit under Settings on the Shifts page.
- Under each day's name is how many customer visits are planned that day. Click it to open that day's routes.
Publishing
- The crew sees nothing until you press Publish. New and changed shifts are marked Not sent or Changed with a dashed outline, and the button counts what's waiting. Plan as long as you like; the crew keeps seeing the schedule as it was last published.
- Publishing emails each person whose shifts were added, changed or removed, with what changed and their whole week. People with no change get nothing. Untick the email box in the Publish window to publish quietly.
- Removing a shift the crew already knows about leaves it struck through as Removed until you publish, so they're told. Click it to put it back. Giving a published shift to someone else works the same way: it shows Removed for the first person and Not sent for the second until you publish.
- Email this week to the crew again (under the week) sends everyone their published week once more, for when an email didn't get through or you published quietly.
- When a company uses shifts, the evening "tomorrow's route" email goes to whoever is on each crew that day: someone covering is included, and someone with approved time off, or put on another crew, is left out.
Planned against what was logged
- Once a day has come, each shift shows the hours the phone logged on job sites that day.
- Late means their first arrival at a job site was later than the shift's start plus a grace time for the drive (30 minutes unless the owner changes it in Settings).
- No arrival means the shift is over and the phone logged nothing at any job site. It's only shown for people who go to job sites: anyone on a crew or assigned to a site. Office shifts are never flagged.
- These are notes for you. They don't change hours, pay or invoices: those still come from the logged visits under Hours & reports.
Time off
- Crew members ask from My schedule → Ask for time off. The owner and admins get an email, the Shifts menu shows a count, and the request waits under Shifts → Time off. (A person's first three requests in a day send the email; any more that day just wait on the page.)
- A request that's waiting also shows as a red alert at the top of your Home page. It lists the shifts that person would leave open and who is free to cover them, with each person's phone number and email, so you can line up cover before you answer. You can approve or deny right there.
- "Free to cover" means: not off (or asking to be off) that day, and no shift of their own at the same time. People free for every shift come first, then people on the same crew. If no shifts are planned for those days, it lists who isn't working and isn't off.
- Approve or Deny, with an optional note. They get an email with your answer. When you approve, you can take their shifts in those days off the schedule in the same step; publish that week so they're told.
- Who answers whom: admins answer the crew's requests. An admin's own request goes to the owner. The owner's own time off needs no answer.
- Add time off enters it for someone yourself (they called in sick). It's approved right away, and only the office can change it afterwards.
- A person can take back a request that's still waiting, or cancel their own approved time off before it starts. When they cancel approved time off the office is emailed; shifts you took off for those days aren't put back by themselves.
- Approved days show striped on the week, and pending requests show as Asked. You can still schedule someone on a day off; LawnClock warns you first.
Quotes & invoices
Invoicing from logged visits
- Make sure each job site has a customer and a price (Job sites → Billing card).
- Open Invoices. Not invoiced yet is the running total of finished work you haven't billed. Ready to bill lists it by customer.
- Click Create invoice next to a customer. You get a draft with a line for every finished visit and billable purchase. Nothing is ever billed twice.
- Check it, and add lines for extras if needed. Then send it:
- Send by email: LawnClock emails it from your company name; replies go to your billing email.
- Send from my email: opens your own Gmail, Outlook or mail app with the message and link ready.
- Copy customer link: paste it into a text message.
- Your customer opens the link, sees the invoice, and taps Pay now to pay through your payment link. When the money arrives, click Mark as paid….
Every visit, listed. Invoices made from logged visits end with a Visits list: each date, the property, when the crew arrived and left, and the time on site (no names), on the PDF and the invoice page. Customers see the work, including on monthly and seasonal contracts that are one line. Turn it off in Settings → List every visit on invoices.
Fixing invoices
- Delete draft: for a draft you haven't sent. It disappears, and its visits go back to Ready to bill.
- Void invoice: for one you've sent. It's kept for your records, marked cancelled for the customer, and its visits can be billed again.
- Restore invoice undoes a void, as long as its visits haven't been billed on another invoice since.
- The Profit box on each invoice shows the crew's labor cost next to what you billed.
Quotes
- Quotes → + New quote: add one-time work ("Fall cleanup") and ongoing prices ("Weekly mow, $45 per visit" linked to a property).
- Photos: the Photos box under the prices takes up to 8 pictures of the job: the area, the problem, what's included. Click + Add photos (on a phone it offers the camera), type a caption if you want one, and use the arrows to put them in order. Your customer sees them on the quote page and in the PDF, under the prices.
- Send it by email or link. Your customer can accept online by typing their name, or decline.
- Once accepted: Apply prices to properties sets the ongoing prices on their job sites, and Create invoice for one-time work bills the rest.
Sales tax
Before your first quote or invoice, LawnClock asks one question: do you charge sales tax? The account owner answers it at sign-up or in Settings → Sales tax. Which services are taxed, and at what rate, depends on your state, and sometimes your county or city. LawnClock doesn't decide this for you: ask your accountant or your state's tax department.
- Your rate: enter its name (it's printed on quotes and invoices) and the percent. Add a second rate if you also work where the rate is different, and pick it for those customers on their customer page.
- What isn't taxed: everything is taxed unless you say so. Untick Taxable on a service in Prices, on a job site's regular price, or on an extra charge.
- Tax-exempt customers (with an exemption certificate): tick Tax exempt on the customer. Their new quotes and invoices say "Sales tax: exempt".
- On each quote and invoice you can change the rate at the top, and untick Tax on a line. When only some lines are taxed, your customer's copy marks the taxed ones with a T.
- Changing your rates never changes a quote or invoice already made.
The Money page and the numbers on Home
Money in the menu (owner, and admins who can see income) puts everything owed, billed and collected on one page. The Home page shows the short version. Click What do these numbers mean? under the figures on either page for the same explanations as here.
- Waiting to be paid: every invoice you've sent that isn't marked paid yet, whatever its date. Drafts don't count. Overdue is the part past its due date.
- Collected: invoices you marked paid, tax included. Money only counts once you click Mark as paid… on the invoice.
- Invoiced: invoices sent or paid, by invoice date, before tax.
- Not invoiced yet: work your crew finished in the last 12 months (visits, extra charges, billable purchases) that isn't on an invoice. Bill it from the Invoices page.
- By period: the same totals for today, this month, this season and this year, plus sales tax, crew labor (from pay rates), crew purchases and a rough margin. Set when your season starts in Settings → Company → Your season starts.
- Who owes you: unpaid invoices grouped by how late they are, and each customer's total. Last 12 months: collected and invoiced, month by month.
Customer statements
Open a customer and click Statement (owner, and admins who see income). Pick the dates: the statement shows the balance brought forward, each invoice and payment with a running balance, the balance at the end, and the invoices still open with how late they are. Print it, or Email to customer: they get what they owe and a link to view or pay each open invoice (and their customer portal, if it's on), in their language. Drafts and void invoices are never on it.
Job profit: what each job makes per hour
Job profit in the menu (owner, and admins who can see income) shows what each property, customer, crew or service brought in against what it cost, in total and per labor hour, with the lowest profit per hour at the top. That's where to look for jobs that are priced too low.
- Income: invoice lines for the work in the dates you pick (drafts, sent and paid; never void), counted on the day the work was done. Finished work not invoiced yet counts at the property's price. Late fees and sales tax aren't counted.
- Labor hours: one person's hour. A crew of three on a job for an hour is three labor hours.
- Costs: crew labor at each person's pay rate (Team), and purchases tagged to the property. Under What to count you can add drive time between stops (gaps of up to an hour, at their pay rate), vehicle costs (the miles to each stop × your vehicle purchases per mile, or a cost per mile you type) and equipment costs (Equipment Service Log repairs and equipment purchases, shared by hours on site).
- Target income per labor hour: type yours and jobs under it get a Below target tag.
- Not on any job: purchases not tagged to a property (supplies and the like). Job profit has to cover those, plus costs not recorded here (insurance, rent, truck payments, your own pay). For your books, use Profit & loss on the Accountant page.
For your accountant: sales tax, profit & loss, QuickBooks
Accountant in the menu (owner, and admins who can see income) has what your accountant asks for, for any dates up to a little over a year. Pick the dates (Last quarter is the usual sales tax period) and whether to count by invoice date or by money received. Your accountant knows which one you file on.
- Sales tax: total sales before tax, taxable sales, sales not taxed, sales to tax-exempt customers, and the sales tax, by tax rate and by month, with every invoice (or payment) behind it. By invoice date it also says how much of the tax customers haven't paid yet.
- Profit & loss: sales, crew purchases by category, crew labor at the pay rates on Team, and a rough profit. Sales tax isn't income, so it's left out. Costs you don't record in LawnClock (rent, insurance, truck payments) are in your own books.
- Print prints the page with your company name and dates on it.
- Files (CSV, for Excel, Google Sheets, QuickBooks or Xero): QuickBooks customers, QuickBooks invoices, payments received, purchases, and the sales tax detail.
- Into QuickBooks Online: make products/services named Services and Late fee (and Sales tax if you charge it; ask your accountant which account it goes to), import the customers file, then each invoices file (date format MM/dd/yyyy). The invoices come in unpaid: record what was paid from the payments file, or let your bank feed match them. QuickBooks takes 100 invoices per import, so a long period comes as several files. It doesn't import invoices into a company that has its own sales tax feature on, or invoices with a discount line; those are listed for you to enter by hand.
- Into QuickBooks Desktop (Pro, Premier, Enterprise): download QuickBooks Desktop: customers & invoices (an .iif file), back up your company file, then File → Utilities → Import → IIF Files. Then the same with QuickBooks Desktop: payments received. It adds an income account and items named after LawnClock (sales tax is a line of its own on Sales Tax Payable). Import each date range once. The Accountant page has the details.
Mileage log
Accountant → Open the mileage log keeps the business miles the IRS asks you to log: the date, where you went, why, and how far. The account owner picks how miles are counted:
- Maps (automatic): road miles between the job sites your crew's phones logged that day, in the order they got there, plus the trip from the shop to the first job and back (set the shop in Settings → Where your trucks start). Nobody types anything. Only the job-site stops LawnClock already logs are used.
- Odometer: the crew types the truck's odometer at the start and end of the day on My day (today or yesterday); the office can type or fix any day on the mileage page.
- Both: Maps counts the business miles, and the odometer is a check: on a day with a reading, the page shows how many miles the job trips don't explain. Add a trip for business driving the phones didn't log; the rest is personal driving, which doesn't count.
- Start-of-day screen (Odometer and Both): the first person on each truck to open the app or website that day is asked for the odometer before anything else: type the reading, or tap Use Maps today to count that day from the job stops. The rest of the crew go straight in and see who typed it. Pick Required, Optional (they can skip it) or Off on the mileage page, and whether to offer Use Maps today. Logging and urgent job alerts never wait for it, and with no signal the reading is kept on the phone and sent later. The end of the day is a reminder on Today and My day from 4 pm, or once the crew's stops are done.
A truck is a crew (Team → Crews), or one of your vehicles once you list them; someone on no crew is their own vehicle. + Add a trip adds a trip the phones don't log, like the dump or the supplier. Type your rate per mile (the IRS standard mileage rate for the year, or what your accountant uses) to see the miles at that rate, and Download CSV for your tax papers. Using the standard rate means you don't also deduct the truck's gas and repairs, and it isn't allowed with five or more vehicles used at the same time, so ask your accountant which way you go.
Vehicles: picking the truck, mileage per vehicle, services
Mileage → Vehicles lists your trucks and vans: the name the crew see (Truck 1), type, year, make, model, plate, VIN, the crew that usually drives it, the odometer now, and when the registration and insurance are due. Once you add one:
- The crew pick their vehicle on the start-of-day screen. It's already picked for them: the one they drove yesterday, or their crew's usual one. The start box is filled in with the vehicle's last reading from your records, so they check it against the dash and tap Save and start my day. Someone who picks a vehicle that's already started today just rides along. The rest of a crew ride in the vehicle the first of them picked. They can change it on My day.
- The end of the day: whoever typed the start gets a phone alert at 4:30 pm if the end isn't in yet. Missed it? The next morning the screen asks for yesterday's end first (they can leave it blank; the office can fix it on the mileage page).
- Odometer photo: on the mileage page pick Off, Optional or Required. The photo goes with the reading; you see it with the camera button next to that day. Kept 3 years.
- Fuel: on a purchase the crew pick the vehicle, and for fuel the gallons.
- Vehicle report (Vehicle report, for one vehicle or all): each day's start, end and miles with who drove, business miles, fuel and gallons, miles per gallon, everything bought for it, cost per mile, and the service done. Print it or download the CSV for your accountant or insurance.
- Service reminders: every so many miles or months (oil change, tire rotation, inspection…). They show on Home 500 miles or two weeks ahead, and you get one email when one is due, and 30 days before registration or insurance. Mark done starts the countdown again and keeps the history. Put what the work cost under Purchases with the vehicle picked, so it's in your books.
A vehicle you sold: Archive. Its miles stay in your records. Vehicles work with Odometer or Both; with Maps the crew aren't asked for readings.
Crew purchases (gas, oil, parts, materials)
- In the phone app: Purchases → + Add purchase. Snap the receipt, enter the amount and what it was for, and choose Company card or My own money.
- On the website, Purchases shows everyone's purchases with totals by category, receipt photos, filters and a CSV download for your bookkeeper.
- Scan receipt (LawnClock Pro, and during your free trial): in the phone app, tap Purchases → Scan receipt, choose Company card or My own money, and take a photo of the receipt. It's read and saved straight away, split by what was bought: gas and trimmer line on one receipt become a Fuel purchase and a Supplies purchase that share the photo, with the tax spread over both so they add up to what was paid. You can scan on the website too. Anything the reader wasn't sure of (a faded receipt, a missing date, items that don't add up, snacks on a work receipt) is marked Check on the Purchases page. Open it, fix anything that's off, and save, or click mark it checked as is. Settings shows how many receipts you've scanned.
- Subcontractors in the list are payments to subs, recorded on Sub pay so they count toward each sub's 1099 total. They can't be picked for a new purchase.
- Owed to crew lists money people spent out of their own pocket. Click Mark paid back once you've repaid them.
- Materials bought for a property (mulch, plants, parts) can be billable. They're added to that customer's next invoice automatically, with your markup from Settings → Invoices.
Hours & reports
- Reports shows every visit with arrive and leave times, hours and labor cost, by person and property. Export CSV is for payroll.
- Live map in the menu (owner and admins) shows today's jobs on a map: done, on site now or to go, with the names of who's at each job. Beside it, every crew member: the job they're at and since when, or the last job they left and what time. Click Show to find someone's job on the map. It refreshes every minute. People only show at your job sites: the phones log arrivals and departures there, nothing in between.
- A visit with a missing arrival or departure is flagged. Click Fix on it (or + Add missed entry): the form opens already filled in. Add a note saying why.
- Crew members see their own hours in My hours. They never see other people's pay rates.
- Payroll in the menu (owner, and admins who see income) adds up each person's hours for a pay period: regular and overtime, the days worked, and an estimate of gross pay at their pay rate with overtime at 1.5×. The owner sets how often you pay (weekly, every two weeks, twice a month or monthly) and the day your workweek starts; overtime is counted per workweek, over the weekly overtime hours on the Shifts page (40 unless you change it). Tick Count drive time between stops if you pay for driving. Download CSV for whoever runs your payroll. It's a guide, not payroll: no taxes, deductions or daily overtime rules. Subcontractors who log time in the app aren't on it: they're on Sub pay.
Your team: suspend, archive, restore
- Suspend is for someone who's off for a while. They're signed out everywhere right away and can't sign in or be logged at job sites. They stay on your team list. Switch back on undoes it.
- Archive is for someone who has left. They can't sign in, and they come off your team list and pickers. Their hours, visits and purchases are all kept.
- Suspended and archived people don't count toward your plan's people limit. Switching one back on needs a free place.
- Both are on Team → the person, under Status, and take effect at once. To see archived people, click Show archived under the team list. Restore brings one back.
- The account owner can't be suspended or archived. Admins can suspend and archive workers; only the owner can do it to an admin.
- Reports and Purchases still let you pick an archived person, so you can look up their old hours.
- An archived person's email stays theirs. To bring them back, use Restore; adding them again as a new person under the same email isn't allowed.
- If the box says LawnClock suspended this person, we did it, not your company, and the buttons are hidden. Email [email protected] to have them switched back on.
- Someone quit or was let go? Archive them (or Suspend, if they might come back soon). It takes effect at once: they're signed out on every phone and computer, their password, PIN and any reset link stop working, and their phone stops getting job alerts. Archive asks for their last day and how they left; that goes in their hire and leave record. Archiving an employee or sub on Contacts archives their sign-in too.
Contacts & subcontractors
Contacts in the menu puts everyone in one list: your customers, your team, employees who don't have the app yet, subcontractors, suppliers and anyone else. Search by name, company, phone, email or town; filter by type; sort by name, company, type, trade or town (or click a column heading); and Download CSV of what's showing.
- Add a contact: Add contact, pick the type, and fill in what you have. Employees have a start date, an emergency contact and a pay rate. Subcontractors have their company, trade, how you pay them (by the job, or by the hour for time logged in the app), when their liability insurance ends, and a W-9 on file tick. Customers also have a Company field now.
- Import employees or subs: Import employees or subs takes a CSV or Excel file (download the blank one to fill in). Columns are matched by their names; a Type column (Employee, Subcontractor or 1099, Supplier) decides each row. You see what it would bring in first. People already in your contacts are left out, and someone already on your team just gets the details added. Social Security, tax ID, birth date and bank columns are never brought in. Nobody gets a login from an import.
- App access: on an employee's or sub's page, Give app access makes their login (as Team → Add person does) and emails them a temporary PIN. They sign in with their cell number and that PIN, then pick their own PIN in Settings. It needs their email and cell number, and they count toward your plan's people. If the email can't go, the PIN is shown to you to hand over.
- Subcontractors: a sub who uses the app is a crew member on the Team page marked Sub. They're left out of Payroll (no overtime). Sub pay in the menu (owner, and admins who see income) shows each sub's stops and hours from the app, what that comes to at their rate, and what you paid them. Record a payment for each check or transfer, with the property it was for if there is one: it's also a purchase under Subcontractors, in your Books, and a cost for that property in Job profit. A sub paid by the hour is already in labor there, so their payments aren't counted twice.
- 1099 totals: Sub pay adds up what you paid each sub in the year, marks who needs a 1099-NEC ($2,000 or more for payments made in 2026 and later; $600 before), and who you still need a W-9 from. Download CSV for your accountant. It's a guide, not the forms. Payments by card or a payment app are usually reported by the card company instead.
- Insurance: Home warns you when a sub's insurance has ended or ends within 30 days, so you can ask for a new certificate.
- Keep tax ID numbers off the site: keep each W-9 itself (paper or a file on your own computer) and just tick W-9 on file. Notes that look like a Social Security or tax ID number are refused.
Equipment Service Log (add-on)
The Equipment Service Log keeps every mower, trimmer, truck and trailer in one place: service history, what each machine costs you, maintenance schedules, and an email when something is due. It's an add-on you can put on top of your LawnClock plan, paid by card, monthly or yearly.
- Getting it: the account owner opens Settings and finds the Equipment Service Log card under "Your subscription". Pick Monthly or Yearly and click Subscribe. You pay by card on Stripe's secure page, come straight back to LawnClock, and the add-on is on. No waiting for us.
- Which plans: it can be added to your plan, and it works during your free trial too. The card in Settings shows its price. If your plan can't have it yet, the card says what's needed and the button says Ask for the add-on instead: nothing is charged when you ask, and we get in touch first.
- Opening it: once it's on, owners and admins see Equipment ↗ in the menu. It opens the equipment log in a new tab, already signed in. There's no second password.
- Maintenance crew: have a mechanic, or someone on the crew who does the servicing? Open Team → the person and tick Can use the equipment log. They get the Equipment link too, and can see the machines and what's due, log service and update hour meters, so the office doesn't have to type it in. Every record shows who logged it. They can't add or delete machines, change schedules, or see what machines cost, reports, settings or billing. Other workers don't get the link.
- On your Home page: owners and admins get an Equipment maintenance card: how many jobs are overdue and due soon, the most urgent ones, and the latest service with who did it. Open equipment log ↗ on the card takes you in.
- Billing: the add-on has its own card subscription, separate from your LawnClock plan, and renews by itself. Manage billing on the same Settings card opens Stripe's page, where you can change the card, see and download invoices, or cancel.
- The first time: the account owner is asked to confirm their email. We send a link to the email they sign in with; they click it, then click Equipment again. That's once, ever. It's how the equipment log knows the email really belongs to your company.
- Staying signed in: a visit from LawnClock lasts up to 12 hours. After that, click Equipment again. If someone is suspended, archived, or made a worker without the equipment log tick, they lose the equipment log within 15 minutes.
- One log per company: everyone who opens it from LawnClock works in the same equipment log, so the owner, the office and the maintenance crew see the same machines and history.
- Already had an equipment log? If there's already an Equipment Service Log account under the account owner's email, the first visit asks for that account's password, once, to connect it. Everything already in it stays.
- Getting back: in the equipment log, click your initials at the top right, then ← Back to LawnClock.
- Reminder emails: they're off until you turn them on. In the equipment log, open Settings → Email reminders, tick Send me email reminders and choose daily or weekly. They go to the account owner's email unless you enter another address there.
- On a phone or tablet: open it from LawnClock in the browser, then tap your initials at the top right → Install app to put it on the home screen. It isn't part of the LawnClock phone app.
- Stopping it: click Manage billing and cancel. It keeps working until the end of the time you've paid for, then the Equipment link goes away. Your equipment records are kept; subscribe again later and everything is still there. No Manage billing button? Then we switched it on for you: email us to stop it.
- More help: the equipment log has its own Help & FAQ for adding machines, schedules, logging service and the year-end report.
Property Measure (add-on)
Measure a property on a satellite map: lawns, beds, driveways and lots to plow by the square foot, edging and fences by the foot. See the property lines and lot size from county records, and put the numbers straight onto a quote. It's an add-on you can put on top of your LawnClock plan.
- Getting it: the account owner opens Settings and finds the Property Measure card under "Your subscription". It shows the price and how often it renews, and any free months. Click Subscribe to pay by card on Stripe's secure page, or Ask for it and we get in touch first.
- Opening it: owners and admins get Measure in the menu, and a Measure this property button on each job site's page.
- Drawing: drag the pin onto the property. Click + Area, then click each corner of the lawn, bed or driveway, and Finish. Click + Line for edging or a fence. The size shows as you go. Click a shape to drag its corners; name each one (Front lawn, Back beds) so the quote reads well.
- Taking away: tick take away on an area (a house, a patio) and it comes off the total. A quick way to get the lawn: Property lines → Add the lot as an area, then draw the house, drive and patio and tick take away.
- Property lines: Property lines shows the lot outline, lot size, parcel number and owner of record at the pin. They come from county records and can be off by a few feet: they're not a survey. On a job site you can use them for the job site's arrival circle (Use for the job site's circle).
- Lookups: looking up property lines counts as one lookup, with a monthly allowance shown on the page. A property that's been looked up before doesn't count again, and drawing on the map is unlimited. Look up again on the lines card asks again (that one counts).
- Onto a quote: save the measurement, click Add to a quote…, tick the parts and give each a rate (per 1,000 sq ft, per sq ft, per foot or one price) and how it's charged (one time, per visit or per month). It makes a new quote for the customer, or adds to one that's still a draft or sent. Your rates are remembered for next time.
- Stopping it: paid by card: Cancel it on the Settings card; it keeps working to the end of the time you've paid for. Your saved measurements stay readable afterwards.
Our Game Plans (add-on)
Our Game Plans runs your crew's golf league, softball team, bowling night or card game on ourgameplans.com: who's in, where and when, and reminders. Some companies have it included free; otherwise it's an add-on you can put on top of your LawnClock plan.
- Getting it: the account owner opens Settings and finds the Our Game Plans card under "Your subscription". Click Subscribe to pay by card on Stripe's secure page, or Ask for it and we get in touch first. If we included it free for you, it's already on.
- Opening it: owners and admins get an Our Game Plans card in Settings and Our Game Plans ↗ in the account menu (your initials, top right). It opens in a new tab, already signed in. The first time, you confirm your email once.
- Your groups there: groups you run are covered while your LawnClock account is active and the add-on is on.
- Stopping it: paid by card: Cancel it on the Settings card; it keeps working to the end of the time you've paid for. Included free, or switched on for you: email us.
Card and bank payments, autopay and the customer portal
Your customers can pay invoices online by card or straight from their bank account, turn on autopay, and see everything with you on their own customer page. The money goes to your own Stripe account and on to your bank: LawnClock never holds it, and card details never touch LawnClock.
- Is it an add-on? If card and bank payments is sold as an add-on on your plan, Settings → How customers pay you and the Add-ons page in the menu show its price, and you add it there before connecting Stripe. The customer portal is free either way. If the add-on is turned off later, invoices go back to your own payment page and instructions, and autopay waits until it's back on.
- Connecting Stripe: the account owner opens Settings → How customers pay you (cómo te pagan los clientes) and clicks Connect with Stripe. Stripe asks for your business details and bank account on its own pages (already have a Stripe account? sign in with it there). When Stripe is done checking, the card says Taking payments.
- On every invoice: Pay by card and Pay from bank account buttons open Stripe's secure page for what's owed. The payment goes on the invoice by itself, the customer gets a receipt, and you get an email. Bank payments take a few business days to clear; the invoice says the payment is on its way until then.
- Fees: Stripe's own fee comes out of each payment in your Stripe account (in the US, 2.9% + 30¢ a card payment, 0.8% up to $5 a bank payment), plus LawnClock's small fee shown on the Settings card. No monthly charge.
- Autopay: tick Let customers turn on autopay. In their customer page, a customer agrees and saves a card on Stripe's page; each invoice you send is then charged on its due date (one more try 3 days later if the card is declined, and you're both emailed). Only the customer can turn it on; you can turn it off on the customer's page.
- Refunds: make them in your Stripe Dashboard. The invoice updates by itself.
- Disputes: if a customer disputes a payment with their bank, you get an email and the payment shows as Disputed on the customer's page. Answer it in your Stripe Dashboard → Disputes. If you lose, the payment comes off the invoice; if you win, nothing changes. Autopay stops for that customer.
- The customer portal: tick Customer portal. Customers go to lawnclock.com/portal (the link is at the bottom of every invoice and quote email), type the email on their customer record, and get a sign-in link: no password. They see their invoices, quotes to accept, upcoming and past visits with before/after photos, can ask for service (it comes to your Requests page) and update their phone and address. To send one customer a link, open them on Customers → Email them a sign-in link.
- Stopping: Disconnect Stripe on the Settings card. Invoices go back to your payment link and instructions, and autopay stops. Your Stripe account stays yours.
Coming soon: ask for a feature
Tell us what to build next. The ideas the most companies ask for get built first.
- Where: the owner and admins find the Coming soon card in Settings. Ideas for Property Measure also show on the Measure page, and ideas for new add-ons on the Add-ons page.
- Asking for one: click I'd use this on any idea you want. Changed your mind? Click You asked for this to take it back.
- Your own idea: click Suggest a feature, say what you'd like and how you'd use it, and click Send. We read every one and may reply by email.
- When it's ready: everyone who asked for an idea gets an email when it's done.
Frequently asked questions
Is it safe to let customers pay by card or turn on autopay?
Yes. Customers type their card or bank details only on Stripe's own secure page, and for autopay the card is kept by Stripe, in your Stripe account. LawnClock keeps only Stripe's reference to it and the last 4 digits, so card numbers are never on our servers or yours. The money goes from Stripe to your bank.
How do my customers sign in to their customer page?
Turn on the Customer portal in Settings → Customer portal. Customers go to lawnclock.com/portal, type the email on their customer record, and click the link we email them (it works once, for 30 minutes). Change a customer's email and their old sign-in ends.
Can I ask for a feature that isn't there?
Yes. In Settings, the Coming soon card lists what we're thinking of building: click I'd use this on the ones you want, or Suggest a feature to send your own. The ideas the most companies ask for get built first, and you get an email when yours is ready.
How do referral and promo codes work?
Type a referral or promo code when you sign up (a referral link fills it in). Its discount comes off your monthly price once you start paying, for the months it gives (pausing doesn't stop the count). On a yearly plan, what those months are worth comes off your yearly bill instead. When the referral program is running, Settings → Your subscription shows your own link: each company that signs up with it gets you the same discount once it has been paying for 30 days, one after another.
Can I bring my invoices into QuickBooks?
Yes. Accountant in the menu has QuickBooks files for customers and invoices, plus payments, purchases and the sales tax detail. Import the customers first, then the invoices. On QuickBooks Desktop, use the two QuickBooks Desktop (.iif) files instead (File → Utilities → Import → IIF Files). Help → For your accountant has the steps. A live connection to QuickBooks is planned.
Do I report sales tax by invoice date or by money received?
It depends on your state and how your books are kept, so ask your accountant. The Accountant page shows both: pick By invoice date or By money received above the numbers.
How does LawnClock count mileage? Does it track my trucks all day?
No. With Maps it joins up the job-site stops the phones already log (and the shop at each end of the day) using the usual road route between them, so it never needs any other location. With Odometer the crew types the readings. Pick one, or Both, on the mileage log page.
Can I get the miles, fuel and MPG for each truck?
Yes. Add your trucks under Mileage → Vehicles and set the mileage log to Odometer or Both. The crew pick their truck each morning (already picked, with the start filled in), and fuel purchases carry the vehicle and gallons. Vehicle report prints each truck's days, miles, fuel, miles per gallon and cost per mile.
How much does LawnClock cost?
One monthly price for the whole company, not per user, after a free trial with no credit card. See the plans and what each includes on the Pricing page, along with the optional add-ons (each priced on its own). The account owner chooses a plan and pays by card, pauses or cancels from Settings → Your subscription. That card lists every plan with Upgrade or Downgrade: a bigger plan charges the difference for the rest of the period right away, and a smaller one credits it to your next bill.
A visit says "No arrival recorded" or "No departure recorded". How is it fixed?
Crew: tap the visit in My hours (phone app 1.3.7 or later, or the website), pick when you arrived or left, and say what happened. It goes to the office and counts once they approve it; you get an alert with the answer.
Owner and admins: requests show on Home and in Reports → Time fixes, with Approve and Decline. Approving adds the time as an office entry, marked "edited", with their reason. To fix one yourself, tap the visit (or click Fix on Reports): the missed-entry form opens already filled in. The owner answers admins' requests; nobody approves their own.
Why wasn't an arrival logged?
Almost always the phone's settings. Check, on that crew member's phone:
- Location for LawnClock is set to Allow all the time / Always.
- Android battery for LawnClock is Unrestricted.
- The Tracking tab says logging is on, and they're assigned to that job site.
- The boundary isn't too small. Use at least 100 m. Phones can't tell 30 m apart reliably.
You can always add the visit afterward with Mark as done… on the Schedule.
Does the app drain the battery or track workers all day?
No. The phone's own geofencing wakes LawnClock only when crossing a job-site boundary. It doesn't keep GPS running, and nothing is recorded between job sites, so battery use is small.
Tracking is only for job sites: just arrivals and departures at the job sites a worker is assigned to, never where they go in between, on breaks or after work. Each worker reads how it works and taps I agree on the app's Tracking tab before anything is logged, and their Team page shows the date they agreed. Workers can turn logging off on the Tracking tab at any time.
What happens with no cell signal?
Arrivals and departures are saved on the phone with the correct times and uploaded as soon as there's signal. Nothing is lost.
Someone asked for time off. How do I see who can cover?
Open Home. The red alert at the top shows the request, the shifts it would leave open, and the people who are free then, each with a phone number and email to reach them. Call or text someone, then click Approve (you can take the person's shifts off the schedule in the same step) or Deny. To hand the open shift to whoever agreed, open Shifts, add it to their row and publish. A phone number only shows if it's on the person's record: add it under Team.
What's the difference between Schedule and Shifts?
Schedule is the customer side: which property is visited on which day, and by which crew. Shifts is the people side: who works which days and hours. A shift can name the crew someone rides with that day, which is what ties the two together. See Shifts & time off.
I added shifts but my crew can't see them.
Shifts stay with the office until you press Publish on the Shifts page. The button shows how many changes are waiting. After publishing, each person sees their own shifts under My schedule and gets an email.
Is "My schedule" in the phone app?
Not yet. Crew members open it on the website at lawnclock.com/app, on their phone or a computer, with the same email and password as the app. The schedule email has a button that goes straight there.
A shift says "No arrival" but they were at work.
The phone didn't log an arrival at a job site during that shift: logging was off, the phone was restricted by battery saving, or they weren't assigned to the site. See Why wasn't an arrival logged? above. If they did the job, mark the visit done on the Schedule with the real times and the flag clears.
How do I change my type of business, and what does it change?
The owner can change it under Settings → Company → Type of business. It sets the list of services you pick from on job sites, visits and quotes, and the starter items offered on the Prices page (Add the usual … services). Nothing you've already entered is changed or removed.
A crew member quit. How do I remove them?
Open Team, click the person, and choose Archive. They're signed out and can't sign in again, they come off your lists, and they no longer count toward your plan's people limit. Their hours and history stay in your reports. If they're only off for a while, use Suspend instead.
I clicked Equipment and it said to confirm my email. Why?
The first time anyone in your company opens the equipment log, the account owner has to prove the email they sign in with is theirs. We email a link to that address; click it, then click Equipment again. It only happens once. If the email never arrives, check spam, then check the address under Settings. If an admin sees this message, the owner needs to click Equipment first.
The equipment log asked "Open this equipment log?" before letting me in. Why?
It asks whenever it can't tell that you came straight from LawnClock, for example if the link was opened from an email or a bookmark. If you just clicked Equipment yourself, go ahead. If someone sent you the link, close the page: a link like that could sign you in to their equipment log.
I clicked Equipment and it asked for a password. Why?
That happens once, and only when an Equipment Service Log account already existed under the account owner's email before the add-on was switched on. Enter that account's password to connect it; after that the link signs you straight in. If you've forgotten it, use Forgot that password? on the same screen, then click Equipment in LawnClock again.
What does the Equipment Service Log add-on cost, and how is it billed?
The price is on the Equipment Service Log card in Settings, monthly and yearly, with what yearly saves you. Pick one and click Subscribe: you pay by card on Stripe's secure page and the add-on switches on as soon as the payment goes through. It's its own subscription, separate from your LawnClock plan, and it renews by itself until you cancel. Once it's on, the same card shows how you're billed and your renewal date. To switch between monthly and yearly, email [email protected].
I paid for the add-on but it doesn't show as on.
It normally switches on within seconds of paying. Give it a minute and refresh the page. If the Settings card still says Subscribe after a few minutes, don't pay again: email [email protected] and we'll sort it out. If you were charged twice by mistake, the second subscription is cancelled automatically and we refund it.
How do I change the card, get a receipt, or cancel the add-on?
The account owner opens Settings, finds the Equipment Service Log card and clicks Manage billing. That opens Stripe's billing page, where you can change the card, see and download every invoice, or cancel. If you cancel, the add-on keeps working until the end of the time you've already paid for, and your equipment records are kept after that. Changed your mind before it ends? Manage billing lets you keep it.
The add-on card says "Payment failed". What do I do?
Your card was declined when the add-on renewed. The equipment log keeps working while the card is tried again over the next days. Click Update card on the card in Settings and enter a card that works. If every try fails, the add-on switches off; your equipment records are kept, and you can subscribe again any time.
I paused my LawnClock account. Am I still charged for the add-on?
No. Whenever your company can't use the equipment log (your account is paused, or your plan can't have it), card charges for the add-on go on hold by themselves and nothing is charged. They start again when the add-on is working again. If a renewal date went by during the hold, the next payment is taken the day it starts working again and a new period begins then. If you cancel LawnClock altogether, the add-on stops renewing too.
How do I let the person who does our maintenance log service?
Open Team, click the person, tick Can use the equipment log and save. The owner or any admin can do this, for as many workers as you like, at no extra cost. The next time that person signs in to LawnClock on the website they'll see Equipment ↗ in the menu. The tick box only shows for workers (owners and admins always have the equipment log) and only while your company has the add-on.
What can maintenance crew see and do in the equipment log?
They see the machines, what's due, and the service history. They can log a service, update an hour meter, and fix or delete a record they logged themselves. Each record says who logged it. They can't add, change or delete machines, change maintenance schedules, change or delete records other people logged, or open reports, exports, settings or billing. They don't see what a machine cost to buy or what other people's jobs cost. The account owner has to open the equipment log once first to set it up.
Who can open the equipment log?
The account owner and admins, plus any worker you've ticked Can use the equipment log for on the Team page (your maintenance crew). Other workers don't get the Equipment link. Everyone who opens it works in the same log, so there's one set of machines and one service history for the company.
The Equipment link is gone. Where did it go?
The link shows only while all of these are true:
- The add-on is switched on for your company. (If it was cancelled, or a card payment failed and couldn't be collected, it's off.)
- Your company is on a plan that includes it (see the card in Settings), or still in its free trial.
- Your account isn't paused or cancelled.
- You're the owner, an admin, or a worker with Can use the equipment log ticked.
If you just subscribed and don't see it yet, refresh the page. Your equipment records are kept either way, and the link comes back as soon as the add-on is on again.
I clicked Equipment and it said the sign-in link expired.
Each click on Equipment makes a fresh sign-in pass that's good for one minute and works once. If the new tab sat for a while, or you reloaded it, the pass is used up. Go back to LawnClock and click Equipment again.
I clicked the confirm-email link and it said "Sign in first".
The link only counts when the account owner opens it while signed in to LawnClock, so nobody else can confirm for you. Sign in to LawnClock in that browser, then open the link from the email again. On a phone, that means signing in at lawnclock.com/app in the phone's browser first.
Is the equipment log in the LawnClock phone app?
No. It opens from the LawnClock website. On a phone or tablet, open LawnClock in the browser, tap Equipment, then tap your initials in the equipment log and choose Install app. It gets its own icon on the home screen. Each sign-in from LawnClock lasts up to 12 hours; after that, open it from LawnClock again.
We were already paying for Equipment Service Log on its own. What now?
The first time you click Equipment, enter that account's password to connect it. Everything in it stays. Its Plan & billing page then says it's included with LawnClock, and you can cancel the old plan there with Manage billing so you aren't paying twice.
If we stop the add-on or leave LawnClock, do we lose our equipment records?
No. The records stay in the equipment log. To keep using it on its own, go to equipmentservicelog.com, click Log in, then Forgot password?, and enter the account owner's email to set a password. From there you can view and export everything. To keep adding to it, you may need one of the equipment log's own plans.
What does Property Measure cost, and how is it billed?
The Property Measure card in Settings → Your subscription shows its price, how often it renews (every month, or another period) and any free months for new subscribers. It's its own card subscription, separate from your plan, and renews by itself. Sales tax is added where it applies. Free months are given once per company: nothing is charged until they end.
How accurate are the measurements and property lines?
Close, not survey-grade. Areas and lengths are worked out from the corners you click on the satellite picture, so they're as good as your clicks: zoom in all the way and click right on the edge. Property lines come from county records and can be off by a few feet. Use the numbers to quote, and measure on site for anything critical.
What counts as a lookup? It says I've used this month's lookups.
Looking up a property's lines for the first time counts as one. Looking at a property that's already been looked up (by anyone) doesn't count, and neither does drawing on the map, which is unlimited. Look up again asks again and does count. The allowance starts again on the 1st of each month; the page shows how many are left. Need more? Email us.
It says "No property lines found at the pin".
Drag the pin onto the middle of the lot (not the street) and click Property lines again. Very new lots, and a few rural counties, aren't in the records yet: draw the lot yourself with + Area.
The map shows streets instead of the satellite picture.
The satellite pictures couldn't load, so the street map is shown instead and the page says so. Reload the page. If it keeps happening, email us: it's on our side.
I don't see Measure in my menu.
Measure is there for the owner and admins once the company has Property Measure. The account owner adds it in Settings → Your subscription. Crew members don't get it. The menu is on the left; on a phone, open it with the ☰ button.
Can I use the lot for the job site's arrival circle?
Yes. Open the measurement from the job site (Measure this property), click Property lines, then Use for the job site's circle. The circle moves to the middle of the lot, just big enough to hold it (never smaller or bigger than phones handle well). Crew phones pick it up the next time they check in.
If we stop Property Measure, do we lose our measurements?
No. Saved measurements stay in Measure and open read-only, and quotes made from them don't change. Add it again and you can edit them.
Is Our Game Plans free?
For some companies it's included free; the card in Settings says Free with your plan. Otherwise it's an add-on with its price on the same card. Either way it works the same.
How do I cancel Property Measure or Our Game Plans, or change the card?
On its card in Settings → Your subscription: Manage billing to change the card or get receipts, Cancel it to stop it at the end of the time you've paid for (Keep it undoes that). No Manage billing button? Then we switched it on for you: email us.
I paused my LawnClock account. Am I still charged for add-ons?
No. While your account is paused (or can't use the add-on), its card charges are on hold, and they start again when you're back. If a renewal date went by while on hold, a new period starts the day you come back, so you never pay for time you didn't have it.
What's the difference between Suspend and Archive?
Suspend is a pause: the person can't sign in and isn't logged at job sites, but they stay on your team list so you can switch them back on quickly. Archive is for someone who's gone: they come off your team list and pickers. Either way their hours, visits and purchases are kept, they stop counting toward your plan's people limit, and you can undo it from Team.
How do I bring back someone I archived?
Open Team, click Show archived under the list, click the person, and choose Restore. They keep their old password and history. If your plan's people limit is full, archive someone else first or email us about more seats.
I can't switch someone back on. It says LawnClock suspended this person.
That person was suspended or archived by us, not by your company, so only we can undo it. Email [email protected] and we'll sort it out.
Can my crew use LawnClock in Spanish?
Yes. Each person has their own language, English or Español. They can choose it themselves: on the sign-in page there's an English · Español switch at the bottom, and after signing in it's under Settings → Language. You can also set it for them: Team → click the person → Language.
In Spanish a crew member gets the whole crew side of the website: signing in and passwords, My day, My schedule and time off, My hours, Purchases, Quote request and Settings. The phone app (version 1.3 or later) follows the same choice: Today, Tracking, My hours, Purchases, quote requests, Settings and the "Which job are you on?" alert. The emails LawnClock sends them are in Spanish too: tomorrow's route, the week ahead, shift schedules, answers to time-off requests, and password emails. The usual service names for your trade are shown in Spanish; a service you named yourself, and any note you typed, shows as you typed it.
Not in Spanish yet: the office screens (Home, Schedule, Shifts, Invoices and the rest, on the website and in the phone app) and the Equipment Service Log. An owner or admin can choose Español too (Settings → Language): the emails about their own sign-in and their own schedule then come in Spanish. The website, and the notices the office gets (a time-off request, an accepted quote), stay in English for them.
Can I send a quote or an invoice in Spanish?
Yes. Open Customers, click the customer, and set Language for quotes and invoices to Español. From then on that customer's quote and invoice pages, the PDFs, and the emails LawnClock sends them (the quote, the invoice, payment reminders and receipts) are in Spanish. The page your customer opens also has an English · Español link at the top, so either of you can switch it.
LawnClock translates its own words: the headings, the buttons, "Total", "Due", and so on. What you type is sent as you typed it: line descriptions, the note to the customer, photo captions and your payment instructions. Type those in Spanish for a Spanish-speaking customer. Services picked from the usual list for your trade are translated where LawnClock knows them, and so are the lines LawnClock writes when it makes an invoice from the crew's visits (the date, the service, "skipped: rain"). You keep seeing all of these in English on your own screens; only the customer's copy changes.
Can crew members see prices, customers or invoices?
No. Crew members only see their own day, their own hours and their own purchases. Prices, customers, invoices, quotes and other people's pay rates are for owners and admins only.
Two people from the same crew arrive together. Does that bill twice?
No. Per-visit pricing bills once per property per day, however many people come. Per-hour pricing adds up the crew's total time on site.
How do I bill for something that isn't a logged visit?
Open any draft invoice and use + Add line, or create a blank invoice from Invoices → New invoice. Materials bought for the job can also be logged as a billable purchase.
My customer didn't get the email.
Ask them to check spam or junk, and mark it "Not spam". Check that the email address on the customer is right. You can always use Send from my email or Copy customer link and text it instead.
How do I put my logo and business details on quotes and invoices?
Settings → Invoices & quotes (owner only). Click Upload logo and pick a PNG or JPEG; wide logos work best, and a see-through background is kept. Fill in your business address, billing phone and billing email in the same box. Your company name comes from Settings → Company. The logo and details appear at the top of every quote and invoice your customers open, and the logo is in the emails that send them. Use Change logo or Remove any time; documents already sent pick up the change too.
How do customers pay?
Through your own payment link (PayPal, Square, Stripe, Venmo…) set in Settings → Invoices. LawnClock never handles the money. When you're paid, click Mark as paid… on the invoice. If they paid only part of it, type the amount: the invoice stays open with the rest due.
How do I set up the Pay now button?
The easiest way: connect your Stripe account in Settings and invoices get card and bank buttons that record the payment by themselves (see Card and bank payments). Or use a payment link of your own, under Settings → How customers pay you. Changing the link asks for your password, and we email you and your billing email about it, so nobody can quietly send your customers' payments somewhere else:
Use your own account with a payment company, the same one you'd use anywhere: PayPal, Stripe, Square, Venmo or your bank. You open it yourself, and your customers pay you there, so the money goes straight to you. LawnClock never sees, holds or touches it, and doesn't need an account with them.
- PayPal: use your PayPal.me link with
{amount}at the end, e.g.https://paypal.me/greenacres/{amount}. Your customer sees the exact amount already filled in. - Stripe: in Stripe, create a Payment Link and choose to let customers choose what to pay. Paste that link.
- Square: in Square, create a payment link where the customer enters the amount. Paste that link.
- Venmo or your bank: paste your Venmo profile link or your bank's payment page.
The account owner pastes it in Settings → Invoices & quotes → Payment link and saves. Every invoice then gets a Pay now button, in the email, on the invoice page and in the PDF. Except with PayPal's {amount}, the customer types the amount from the invoice. Taking checks or Zelle instead? Put that in Payment instructions; it's printed on every invoice. When the money arrives, click Mark as paid… on the invoice.
Can my invoices ask customers for a review?
Yes. The account owner pastes a review link in Settings → Invoices & quotes → Review link and picks when it shows: once an invoice is paid (the receipt email, the invoice page and the PDF) or on every invoice (also the invoice email). Customers see Happy with our work? Leave us a review with your link. Payment reminders never carry it.
- Google: sign in to Google with the account that manages your business, search your business name, and click Ask for reviews (or Get more reviews) on your Business Profile. Copy the link it gives you; it usually starts with
https://g.page/r/. - Facebook: open your business page, click Reviews, and copy that page's address.
- Yelp: copy the address of your business's Yelp page.
Every customer gets the same link. Google and the FTC don't allow asking only the customers you think are happy, or paying or giving discounts for reviews.
Can my crew tick off a checklist at each job?
Yes. Open the job site (Job sites → the property) and type its items in Job checklist, one per line, then click Save checklist. For things you want done at every stop (close the gates, blow off the walks), click Checklist for every job on the Job sites page. Each list can have up to 30 items.
In the phone app, the crew tap the stop on Today to open the job and tick each item as they go. The stop shows how many are done (for example 3/5). The job site page lists what was ticked in the last two weeks, by whom and at what time. Changing an item's wording makes it a new item; past days keep what was ticked.
How do I keep records of fertilizer and weed control we put down?
First add your products in Reports → Chemical records → Add product: the name, the EPA registration number from the label (plain fertilizer has none), the unit you measure it in, and the label rate if you like. Add each applicator's state license number on their Team page.
At the job, the crew open the stop on Today in the phone app and tap Record a chemical: the product, the amount, and if they like the area, the target pest, the temperature and the wind. The time, the person and their license number fill in on their own. They can fix or delete their own record the same day; after that, the office can, on the Chemical records page.
For your state's yearly pesticide report or an inspector, pick the dates on the Chemical records page and click Export CSV. It has the date and time, customer, address, product, EPA number, amount, area, weather, applicator and license number for each application. States ask for different things and keep records for different lengths of time, so check your state's rules.
Can I email all my customers at once?
Yes. On Customers, click Email customers. Write a subject and message, send yourself a test, then send it to every customer with an email address or only the ones you pick. Each customer's email starts with "Hi" and their first name and ends with your business name, your business address and an unsubscribe link, which the law (CAN-SPAM) requires. Replies go to your billing email.
The emails go out a few at a time, so a long list can take a while. You can stop a send that's still going. Customers who unsubscribe are marked Unsubscribed and aren't sent these emails again, but still get their invoices, quotes and receipts. Your plan includes a number of customer emails each month; the page shows how many are left. Bulk email opens once your subscription is active, and needs your business address in Settings. Only the owner, and admins who can see income, can send them.
Can I keep hire dates, last days and notes about my people?
Yes. Open the person on Team. Hire and leave records lists each time they worked for you (seasonal crews get one per season) and dated notes with who wrote them. When you Archive someone, you're asked for their last day and how they left (quit, laid off, let go, end of season); when you Restore them, the day they're back. Only the owner and admins see these (admins see crew members', not other admins'). The person never does. Notes can come up later (an unemployment claim, a dispute), so stick to dates and facts.
How does the crew report an injury or damage?
In the phone app, on Today: Report an injury or damage (on the website: My day). They pick who got hurt (themselves, someone on their crew, or someone else) with the body part and treatment, or what got damaged and whose, with when, where, what happened and up to 3 photos. The owner and admins get a phone alert and an email right away, and Home shows it until it's closed. Follow up on Team → Injury & damage reports: days away from work or the cost to fix, a note, and close it. Injuries also show on the person's Team page. To send one to your insurance company, open it and click Print / Save as PDF (one page with the details, the follow-up and the photos); Download CSV… on the list gives every report between two dates, one row each, for your own log. This isn't your workers' comp or OSHA paperwork; use it to remember what happened when you fill those in. If someone is badly hurt, call 911 first.
Can the crew take before and after photos at a job?
Yes. In the phone app, tap the stop on Today, then Before photo or After photo. The photos are kept with that job site and day, and the office sees the last 30 days on the job site's page (Job sites → the property). Someone can delete their own photo the same day. Photos are kept for about a year. Where the photo was taken isn't kept in it.
Can I download photos with names I'll recognize?
Yes. Click Download photos… on a job site's page, a customer's page, or the Job sites page (every job site), pick the dates and what to include (job photos, quote photos, receipt photos), and you get one zip file. Inside, there's a folder for each customer and job site, for example Smith - 12 Oak St, and each photo is named with the date, time, job site, customer, what it is and who took it, for example 2026-10-19 8.14am - 12 Oak St - Smith - Before - Juan Lopez.jpg. Receipts for no job site go in Shop and general purchases.
For your accountant, Reports → For your accountant → Download receipt photos gives every receipt photo for the dates on that page. Injury and damage photos download from the report itself, or from the Job sites page when you tick them; they never go in a job site's or customer's zip. One zip holds up to 200 photos (about 40 MB); for more, pick fewer days (a month of receipts at a time works well). A single photo has a Download link too. Only the owner and admins can download photos (quote photos: those who see prices).
I'm switching from Jobber. Can I bring my clients over?
Yes. In Jobber, open Clients, pick All in the filter, then More Actions → Export Clients → CSV; Jobber emails you the file. Here, open Customers → Import customers, choose the file (and your jobs file in Jobber's job import layout, if you have one) and click Check the files to see what comes in. Each new property is then found on the map from its address (about one a second: keep the page open), and Import now brings in the customers, job sites, per-visit prices and visits from today on.
Past visits, invoices and balances stay in Jobber (a balance is noted on the customer). Anything not found on the map is listed so you can add it on Job sites. Running it again with the same files adds nothing twice. Only the owner and admins can import; prices come in only for those who see prices. It works during the free trial too, or email us your files and we'll bring them in for you.
Can I bring my customers over from other software or a spreadsheet?
Yes. Export or save your customer list from your old software (Yardbook, Service Autopilot, Housecall Pro, QuickBooks, a spreadsheet…) as CSV or Excel (.xlsx), then open Customers → Import customers and choose it. On Match the columns, each of your columns is matched to ours by its name; pick or change any of them, or choose "Don't bring in" or "Add to the customer's notes". Then it works like the Jobber import: check what comes in, find the properties on the map, import. The matches you pick are remembered for the next file like it (in that browser).
Claude (Anthropic's AI) also suggests matches for the columns that didn't match by name; they're marked Claude so you can check them. Only the column names and the first 3 rows are sent for that, and nothing is saved until you import. Starting from paper? Download our template on the same page, fill it in, and import it. It works during the free trial too, or email us your file and we'll bring it in for you.
Do you have calculators to help me price my work?
Yes, free for anyone, no sign-in: Free calculators. Labor cost (what an hour of a worker really costs you), service price, and profit margin work for any trade, and there are ones for your kind of work too, like lawn care, leaf cleanup, mulch and snow plowing. Change the example numbers to yours and the answer updates as you type; nothing you type is saved or sent anywhere. Owners and admins also find them in the menu under your initials, and on Settings → Services & prices. Put the prices you settle on in your price list or on each job site.
The app didn't log someone right. What can they do?
In the phone app, they tap The app didn't log me right (on Today, or on the job screen) and pick what happened. The report goes to the office with where their phone was at that moment. Open Reports → Location problems: a map shows the job site's circle and the phone. If the pin is in the wrong place, click Move the pin here; if the circle is too small, Make the circle bigger; they get an alert with your answer. If it looks like the app itself, send it to the developer. Missing hours are added with + Add missed entry on Reports (or they ask for a fix on My hours).
Can a crew leader move people or stops for the day?
Yes. On Team, open a crew and tick Crew leader next to one of its workers. In the phone app they get a Crew leader card on Today: for today only, they can move one of their crew's people to another crew (that person's app shows the other crew's stops, and they get an alert), or give one of their stops to another crew (and take it back). You see each change on Home and on Routes. Crew leaders still don't see prices or pay, and can't change anything past today.
Can the app remind the crew to turn on logging?
Yes. On Team, under "Turn on logging" reminder, the owner turns it on and picks when. Anyone with work that day whose phone says logging is off gets one phone alert at the start of their day: their published shift, else their crew's first stop with a time, else the "Day starts at" time. Never on days off, and never when logging is on. It goes by the clock, not by where they are: with logging off, the phone isn't watching location. It needs the phone app 1.4.0 or newer.
How do I report a problem with LawnClock?
In the phone app: Settings → Report a problem with the app. On the website: Settings → Report a problem. Say what you were doing and what went wrong, and add a screenshot if you can. The app version, your phone model and whether logging is on are sent with it (never where you are). It goes to the people who make LawnClock; we reply by email if we need more. For a problem with someone's hours or a job site, ask your office instead.
Why can't I download the QuickBooks files?
The QuickBooks and CSV files on the Accountant page come with some plans, not the free trial. The sales tax report and profit & loss are on every plan, and you can print them. To get the files, the account owner changes plans in Settings → Your subscription.
Do repairs from the Equipment Service Log count in my money pages?
Yes, with the add-on: parts and labor on service records in the equipment log come over a few times a day and show as Equipment repairs on the Money page, in Profit & loss on the Accountant page, and in the purchases file. If you also enter those parts as crew purchases, the owner clicks Don't count them next to Equipment repairs on the Accountant page so they aren't counted twice. Bring them over now updates them right away.
A customer wants to pay in parts.
That's between you and your customer: agree on it the way you normally would. Then each time they pay, open the invoice, click Mark as paid… (it says Record a payment… once there's a payment) and type the amount received. The invoice stays open and shows Paid so far and Balance due, to you and on your customer's invoice page and PDF. The Pay now button, reminders and the Money page all use the balance. Once the payments reach the total, it's marked paid. Each payment is listed on the invoice; click remove next to one entered by mistake, or a check that bounced.
Can I charge late fees?
Yes, if you choose to. The account owner sets them in Settings → Invoices & quotes → Late fees: a fee at 10, 30, 60 and/or 90 days late, each a flat amount or a percent of the balance. While they're on, the terms are printed on every invoice. When an invoice reaches one of those days, LawnClock adds that fee as a line on the invoice, once. It only does that within a week of the day, so turning fees on doesn't charge invoices that are already long overdue.
Want to let one go? Tick Waive late fees on this invoice: its fees are removed and no more are added. Or delete just one fee line from the invoice; it won't come back. Check your state's rules on late fees before turning them on.
Can my invoices say "due upon receipt"?
Yes. In Settings → Invoices & quotes, tick Due upon receipt. New invoices then say Due upon receipt instead of a date. On any one invoice, setting the due date to the same day as the issue date does the same.
Two customers are next door to each other. How does LawnClock tell the jobs apart?
Phones can't separate next-door properties: GPS is only accurate to about 5–30 m, and job-site circles can't be smaller than 100 m. So when a crew member's phone is inside several job circles at once, LawnClock does this:
- It asks them. About a minute after they arrive, the phone sounds an alarm with "Which job are you on?" and repeats it every minute until they tap one. When they move to the neighbor's lawn they tap that one (the Today tab shows "Working on…", and the phone nudges them every 15 minutes while there are jobs they haven't started). The job they chose gets the time.
- If nobody answers, only the jobs scheduled that day count, and the time is shared equally between them, so hours are never counted twice.
- A neighboring job that got no time is not billed and not marked done. It shows on the timesheet as "Nearby job · not counted".
On Reports → Timesheet you'll see "Crew chose this job" or "Time shared · 2 jobs" beside those visits, and the crew's answers are in the Activity log. If a job was really done but wasn't chosen, use Mark as done on the Schedule. The owner can switch the phone alarm off in Settings → Jobs close together; the sharing rule still applies.
Does LawnClock work for snow removal?
Yes. The phone logs every push and salting on its own, day or night, with or without signal, and each visit is billed per push, per salting, by the hour or under a seasonal contract, the way you price the property. Urgent jobs alert your crew when a customer calls with a buried lot. See Snow removal & urgent jobs.
How do I send out an urgent job, like snow removal right now?
On Home, click the red Urgent button. Pick the property, say what's needed (it starts as "Snow removal"), add a note for the crew if you like, and the price if you know it. Then tick who gets the alert: everyone is ticked, except you and anyone off today. Click Send the alert.
- Everyone you ticked gets an alarm on their phone (with the LawnClock app, version 1.3.3 or later, with alerts allowed) and an email. Crew members see it at the top of Today in the app and My day on the website.
- The first person to tap Accept gets it. You're told right away (phone and email), and everyone else is told it's taken. If they can't go after all, they tap "I can't go after all" and everyone is alerted again.
- When it's done (they tap Mark it done, or you do), it waits under Ready to bill. Open it, check the price and click Price is right: ready to bill. It then goes on that customer's next invoice, or click Make an invoice for it now.
- The urgent job is billed instead of the property's regular visit price for that day, so the visit the phone logs there isn't billed twice.
Crew members never see the price. Only the owner, and admins who can see prices, check and bill it. All urgent jobs are under Home → the red box → Open, or at Urgent → All urgent jobs.
Nobody accepted an urgent job. Now what?
It stays open, at the top of Home as "alerted, no one yet", and crew members keep seeing it on their phone for two days. Call someone; when they accept it in the app, you're told. If you sent someone yourself or handled it another way, open the job and click Mark it done (it then waits under Ready to bill), or Call it off if it isn't needed any more. Either way, everyone who was alerted is told not to go.
Does my crew need the phone app for urgent job alerts?
For the alarm, yes: the LawnClock app, version 1.3.3 or later, with alerts allowed (if they're off, the app shows a red "Emergency alerts are off" card on Today, which is what the app calls them until its next update; tapping it turns them on). Everyone you alert also gets an email with a button to the job, and can accept it from the website (My day). The form shows who has phone alerts and who gets email only. People who signed up for texts (Settings → Text messages) also get a text, and another when the job is taken or called off.
Can I charge more for an urgent job?
Yes. An urgent job has its own price: type it when you send the alert. It starts at the property's own Urgent price (on the job site), or else its regular visit price plus your usual extra (Settings → Urgent jobs cost: a percent or an amount on top), or set it when you check it under Ready to bill. It's billed instead of the property's regular visit price for that day, so the visit the phone logs there isn't charged twice. If that regular visit was already on an invoice before the job was finished, LawnClock tells you which invoice, so you can take that line off.
A truck drove past a customer's house. Will that be billed as a visit?
No. Stops shorter than the minimum stay (5 minutes unless you change it in Settings → Jobs close together) are treated as drive-bys. They stay in the Activity log and show on the timesheet as "Drive-by · not counted", but they aren't billed, don't add hours and don't mark the job done. Entries you add by hand are never treated as drive-bys.
Someone asked my crew for a quote. How do they pass it on?
Phone app: Today tab → New quote request. Website: Quote request in the menu. They enter the person's name, phone, email, address, whether it's a home or a business, and what they want done, then tap Send to the office. The owner and every admin get an email straight away (replying to it goes to the possible customer), and it appears under Requests on the website with a count on the menu. There you can click Create customer & quote, mark it handled, or dismiss it. The office can also add a request by hand for a phone call. Crew members see only the requests they sent and whether the office has handled them.
How do I charge extra for trimming around trees, edging, shrubs or cleanups?
First set your prices once: Settings → Open price list. Click Add the usual lawn services to start with weed trimming (per tree), edging, shrub trimming, spring and fall cleanup and more, then type your residential and commercial price for each. Add your own with + Add service.
Then open the property on Job sites and use Extra charges:
- Every visit: added to the invoice each time the crew is there, on top of the regular price. Example: 6 trees × $3.
- One-time: added once to the customer's next invoice. Example: fall cleanup, $250.
Picking from the price list fills in the price for that property's type, and you can change it for that one property. Changing the price list later never changes charges already set up or invoices already made. You can also pull price-list lines straight into a quote or an invoice with + Add from price list….
How do residential and commercial work?
Each job site is marked Residential or Commercial in its Billing box (commercial ones show a badge in the list). The type decides which column of your price list is offered for that property, for lawn work and snow alike. Quote requests from the crew can say which it is too.
We do snow. How do I bill plowing and removal with a loader, Bobcat or dump truck?
On the price list click Add the usual snow services: plowing (per push), snow blowing, shoveling, salting, plow truck (per hour), front loader (per hour), skid steer / Bobcat (per hour), dump truck hauling (per load) and a seasonal contract. Set residential and commercial prices.
For plowing, give the property a per-visit price: each day the crew's phones log a visit there is one push on the invoice. For removal after a storm, open the property → Extra charges → One-time + Add, pick the machine and enter the hours or loads (say 3.5 hours of front loader, 4 dump truck loads). A property doesn't need a regular price for this; its extra charges are invoiced on their own.
Who can see prices, invoices and income?
Workers never do. Crew members signed in as Workers see only their stops, their own hours and their own purchases, on the website, in the phone app and in schedule emails. The owner always does. Admins see income unless the owner hides it: Team → click the person → untick Can see income. That Admin can still run the schedule, routes, team, job sites, timesheets and purchases, but Quotes, Invoices, property prices, customer balances and Compare years disappear for them. Only the owner can change this.
Why does "Waiting to be paid" say $0?
It only counts invoices you've sent that aren't marked paid yet. Drafts don't count, and neither does finished work that isn't on an invoice: that's Not invoiced yet, shown on the Home page's money card and the Money page. Once you send an invoice it shows here until you click Mark as paid….
How do I set when my season starts?
The owner sets it under Settings → Company → Your season starts (a month and a day). The Season column on Home and on the Money page runs from that day to today. Until you set it, it's the usual start for your trade: April 1 for lawn care, November 1 for snow removal, January 1 otherwise. Doing lawns in summer and snow in winter? Tick We also do snow removal there and pick when snow season starts: each season then runs until the other one starts, and the column says Lawn season or Snow season, whichever it is now.
It won't let me make a quote or an invoice. It asks about sales tax.
Before new quotes and invoices, the owner answers one question: do you charge sales tax? It's in Settings → Sales tax (or at sign-up). Answer Yes with your rate, or No. It's asked so no customer is billed without tax by mistake. Not sure what to charge? Ask your accountant or your state's tax department; LawnClock doesn't decide it for you.
A customer doesn't pay sales tax (a church, a school, the town). What do I do?
Open the customer and tick Tax exempt, and note their certificate if you like. Their new quotes and invoices say "Sales tax: exempt". For one quote or invoice only, choose Customer is tax-exempt in its Sales tax box.
Why do some lines on my invoice have a "T"?
When some lines are taxed and others aren't, the taxed ones are marked T, and the tax line says what it was worked out on ("8.75% on $300.00"). Which lines are taxed comes from the Taxable boxes on your price list, job sites and extra charges, and the Tax box on each line.
Where did landscaping, tree service and the other trades go?
LawnClock is now for lawn care and snow removal only. If your company already had another type of business, it keeps it and nothing changes. For other kinds of work, the same app is offered under the name CurbClock (curbclock.com).
How do I compare this year with last year?
Reports → Compare years. Pick up to 5 years. Jan 1 – today each year cuts every year off at today's date, so a year still in progress is compared fairly; Full years shows whole calendar years. The summary covers invoiced (before tax), collected, visits, hours, labor cost, purchases, skipped visits and what's left after labor and purchases. Below it: a month-by-month chart (hover or tap a month for exact numbers), and invoiced by customer. Download CSV gives you all of it for a spreadsheet.
I forgot my password.
On the sign-in page (website or phone app) click Forgot password? and enter your email. You'll get a reset link that works once and expires in 1 hour. Setting a new password signs you out on every other device. Nothing arrived? Check spam, or ask your boss to reset it from the Team page.
How do I stay signed in on the website?
Tick Remember me for 30 days when you sign in. You stay signed in on that browser until you've been away for 30 days. Without it, the website signs you out after 12 hours without use. Don't tick it on a shared computer. The phone app always stays signed in so it can keep logging. Click the eye in the password box to see what you typed.
Can I put photos on a quote?
Yes, up to 8 on each quote. Open the quote and use the Photos box under the prices: + Add photos lets you pick several at once, and on a phone or tablet it offers the camera, so you can walk the job and add them on the spot from the website. Each photo can have a caption ("Cracks along the garage side"), and the arrows set the order. Your customer sees them on the quote page, where a tap opens a photo full size, and in the PDF. Each photo is saved as you add it, separately from the Save button for the prices.
Good to know: photos are shrunk as they're added, and anything the camera tucked into the file, such as where it was taken, is removed. You can add, caption, reorder or remove photos while a quote is a draft or sent; if you change them after sending, your customer sees the new version, and is shown it again before they can accept. Once a quote is accepted, declined or withdrawn, photos can't be added, captioned or reordered, but you can still remove one, for example if your customer asks you to take a picture down. Only people who can work on quotes (the owner, and admins who can see income) can add or see them; crew members can't. JPEG, PNG and WebP pictures work. Emoji in a caption show on the quote page but are left out of the PDF. Photos are on quotes only, not invoices, and for now they're added on the website, not in the phone app.
Can I send invoices and quotes as PDFs?
Yes. Every invoice and quote has a Download PDF button, and when LawnClock emails one to your customer the PDF is attached, with your logo, a Pay now (or Review & accept) button and your payment instructions. A quote's photos are in its PDF too. Customers can also download it from their invoice or quote page.
Can LawnClock chase late payments for me?
Turn on Automatic payment reminders in Settings → Invoices & quotes. When an invoice is overdue, your customer gets a friendly reminder with the invoice attached at 3, 10 and 17 days late, during business hours, and it stops as soon as you mark it paid. You can also send one any time with Send payment reminder on the invoice. When you mark an invoice paid you can tick Email a receipt to send a thank-you with the paid invoice attached.
What's on the Home page?
Today at a glance: every scheduled visit on a map, each crew's progress, who's on a property right now, hours on site this week, money waiting to be paid and collected this month, and anything that needs you (overdue invoices, accepted quotes, missed visits, crew owed money, new quote requests). A time-off request that's waiting for an answer shows as a red alert at the top, with who is free to cover. It updates itself every minute. With the Equipment Service Log add-on, owners and admins also get an Equipment maintenance card showing what's overdue, what's due soon and the latest service logged. New companies also see a Get set up checklist that ticks itself off as you go.
Can I try LawnClock with sample data first?
Yes. On a brand-new account, the Home page offers Load the sample company: two trucks, three crew, six properties, three weeks of visits, an invoice, a quote and some purchases, placed around your area. Nothing is emailed to the made-up customers. When you're ready, click Remove sample data in the yellow bar; your own properties and customers stay.
What is two-step sign-in, and how do I turn it on?
After your password, LawnClock also asks for a 6-digit code from an authenticator app on your phone (Google Authenticator, Microsoft Authenticator, Authy and so on), so a stolen password alone can't get into your account. Owners and admins can turn it on at Settings → Two-step sign-in: scan the QR code with the app, type the code it shows, and save your 10 backup codes somewhere safe.
On your own computer you can tick Trust this computer for 30 days so it doesn't ask every time. In the phone app you enter the code once when you sign in. Lost your phone? Sign in with a backup code, then turn it off and on again with your new phone. No backup codes either? Email [email protected].
How do I change the email I sign in with?
On the website, go to Settings → Change email, enter the new address and your password. We email a link to the new address; the change happens when you click it, so a typo can't lock you out. Your password stays the same, and phones that are signed in stay signed in.
To fix a worker's email (a typo when you added them, or a new address), go to Team, click the person and change Email. It changes right away; tell them the new email. Lost access to your own old mailbox? Email [email protected].
A worker forgot their password.
They can click Forgot password? on the sign-in page, or you can go to Team → click the person → Reset password. They get a new temporary password and are signed out everywhere.
Can workers sign in with a PIN instead of a password?
Yes. Go to Team, click the person and choose Set up a PIN. Check their cell number; LawnClock makes up a PIN (or type your own) and emails it to them, or untick Email it to have it shown to you once and give it to them in person or by text. They tap Cell number + PIN on the sign-in page or in the app. Crew PINs are 4 to 6 digits; owners and admins use 6. Easy ones like 1111, 1234, 2580 or a year aren't allowed.
Forgot it? Click New PIN on their Team page; the old one stops working and they're signed out everywhere. After 10 wrong PINs in a day, PIN sign-in for that number waits until the next day, or until you set a new one. You can also Turn PIN off there; Reset password turns it off too. Each person can change their own PIN in Settings. If two-step sign-in is on, it still asks for the code.
How do I stop someone who left from signing in?
Go to Team, click the person and choose Archive (or Suspend for a short break). They're signed out everywhere at once and their password, PIN and reset links stop working. Their hours and history stay. Archiving them on Contacts does the same. See Someone quit or was let go.
Can I import my employees or subcontractors?
Yes: Contacts → Import employees or subs, with a CSV or Excel file. They come in as contacts; give each one app access when they need it, and a temporary PIN is emailed to them. See Contacts & subcontractors.
How do I handle subcontractors?
Add them on Contacts as Subcontractor, with their insurance end date and a W-9 on file tick. A sub who logs time gets app access and is left out of Payroll; a sub who bills by the job doesn't need the app. Record what you pay on Sub pay, which also adds up the year for 1099s. See Subcontractors.
I moved a visit by mistake.
Click it on the Schedule and choose Undo move, or drag it back. Once it's back on its usual day it's no longer marked "moved".
How do I cancel or delete my account?
Taking a break: the owner can pause or cancel the subscription in Settings → Your subscription. Everything stays for when you come back.
Deleting: Settings → Delete my account (website or phone app), or go straight to Delete my account. For the owner it deletes the whole company and all its data, right away, and cancels card payments; export your timesheets from Reports first if you need them. For anyone else it deletes just their own login; the company keeps the hours already logged, for payroll. Section 11 of the Privacy Policy has the details.
Is my data private?
Yes. Every company's data is kept separate, and all connections are encrypted. We don't sell data or show ads. See the Privacy Policy.
